How do I keep vaccination records in a veterinary practice?
Vaccination records have two parts: what was done (in the animal record) and what comes next (in the recall list). Kept apart, one of them gets lost. Linked to the same animal, the vet sees the history and the team sees who needs to be called.
Short answer
- Note the vaccine, the dose and the date in the consultation in the animal record.
- Enter the booster date set by the vet in the recall list and in the schedule.
- Register the certificate or booklet in the documents register, with a title, type, date and reference.
- Work through the recall list on a fixed day of the week and call the owners.
What the flow looks like
- Open the animal record from the schedule at the start of the visit.
- Write the consultation, with the vaccine given and the observations.
- Set the booster date and enter it in the recall list.
- If possible, book the next visit in the schedule.
Limits to keep in mind
- The platform does not calculate vaccination schedules: the vet sets the date.
- It does not send reminders to owners: the recall list is worked manually by the team.
- It does not send vaccinations to official registers or into the animal's passport.
Common mistakes
- Noting the vaccine in a notebook but entering the booster nowhere.
- Having the booster date in the record but not in a list the team works through.
How 4softvet helps
- Consultations and documents in the animal record, plus the manual recall list in the same platform.
