GuidesHow do you move a vet practice from paper or Excel to software?
You do not need to move every old record on day one. Start with new visits, add old records as animals come back, and keep the old files until the new system is trusted.
Short answer
- Decide the start date. From that day, every new visit goes into the software.
- Clean the owner and animal list first: duplicates, missing phone numbers, wrong spellings.
- Enter an animal's history when it next visits, not all at once.
- Keep the paper cards or spreadsheet until you have used the new system for a few months.
- Ask any vendor how you export your records, so you can leave later.
A staged plan
| Stage | Action | Result |
|---|---|---|
| Prepare | Clean the list of owners and animals | One row per animal, one owner per animal |
| Set up | Add vets, rooms and currency | The agenda matches the practice |
| Start | Enter every new appointment and consultation | No paper diary at reception |
| Backfill | Add old history when the animal visits | Records grow where they are used |
| Retire | Archive the old files | One source of truth |
Prepare your data
- Give each animal one row and one owner.
- Check microchip numbers; they are easy to mistype.
- Write allergies in a separate column, so they are not lost in free notes.
- Decide what you will not move: very old records can stay in the archive.
What a small system asks of you
With 4softvet you add vets and rooms in the settings and choose the currency. You create a file for each animal with the owner's contact details, allergies and notes, then book appointments by picking the animal, the vet, the time and the room.
You enter the data by hand. There is no import described for old records, so plan for the time it takes.
Keep what stays outside
- Lab results, images and scans stay where you keep them now. A documents register lists them against an animal.
- Invoices and payments continue in your accounting or billing tool.
- Owner reminders continue by phone or in a messaging tool.
Check after a month
- Is any paper still being written?
- Can every vet find an animal in under a minute?
- Which task still happens outside the software, and why?
Set a realistic timeline
Most small practices can start entering new visits within a week of choosing a system. The backfill takes longer, because it follows the animals as they return.
Do not run both systems in parallel for more than a few months. Two sources of truth slow the team and hide mistakes.
