GuidesHow do you reduce no-shows in a vet practice?
A no-show wastes a vet's slot. Most missed visits come from a booking nobody confirmed, a clash in the diary or an owner who forgot. Fix the process first, then choose tools.
Short answer
- Confirm each appointment with the owner before the day. A short call or message is enough.
- Avoid clashes: one vet and one room should never hold two animals at once.
- Keep the daily agenda in view, with a status for each visit.
- Record why a visit was missed, and call the owner to rebook.
- Reminder messages need a messaging tool. 4softvet does not send them.
Why animals do not arrive
- The owner forgot the date or time.
- The booking was made weeks ago and never confirmed.
- The slot was entered twice, or with the wrong vet.
- The reason for the visit was not urgent in the owner's eyes.
A routine that works with any software
| When | Action | Who |
|---|---|---|
| At booking | Note the reason, the vet and the owner's phone | Reception |
| Before the day | Confirm by phone, SMS or e-mail | Reception or a messaging tool |
| On the day | Check animals in as they arrive; see who is missing | Reception |
| After a miss | Call the owner and offer a new slot | Reception |
What 4softvet gives you
- A warning when a new appointment overlaps another with the same vet or in the same room. You can still book the overlap when you mean to.
- A daily agenda with each visit by status: scheduled, confirmed (check-in), completed.
- A manual recall list for animals to call back.
What it does not do
4softvet does not send reminders by SMS, e-mail or WhatsApp, and owners cannot book online. Your team enters each appointment and makes the confirmation call. 4notify is a separate product in the same ecosystem that can send messages; it is not linked automatically to the recall list.
Digitail states that it sends automated reminders by e-mail, text and push notification and offers 24/7 online booking (consulted 2026-10-26). If automated owner messaging is your main need, choose a system that includes it.
Measure it
Count missed visits for one month before you change anything. Count again after. A routine you can measure is a routine you keep.
Make the confirmation short
Say the date, the time, the vet and the reason in one sentence, and ask the owner to reply if they cannot come. A reply that frees a slot early is worth more than a reminder that is ignored.
Give reception a script. The same words every time make the call fast enough to repeat for every booking, and they stay polite when an owner has to be called twice.
